Child Safeguarding & Protection Policy

1. Our commitment

The Sophiana Foundation is committed to safeguarding the welfare of all children and vulnerable adults in our care. We have a zero-tolerance approach to abuse, exploitation, and neglect of any kind. Everyone connected to the Foundation shares responsibility for keeping the people we serve safe.

2. Who this applies to

This policy applies to all staff, volunteers, board members, partners, contractors, and visitors acting on behalf of the Foundation.

3. Our principles

• The best interests of the child or vulnerable adult come first.
• Every person has the right to protection, dignity, and respect.
• We listen to, and take seriously, any concern that is raised.
• We never use our relationship with beneficiaries for personal benefit.

4. Photography, video & media consent

We only photograph, film, or share the story of a child, elder, or family with their informed consent (and the consent of a parent or guardian for a child). We are guided by the following:

• Images and stories are always shared respectfully and truthfully.
• We never publish information that could identify a child’s exact location or put them at risk.
• Consent can be withdrawn at any time, and we will remove content on request where reasonably possible.
• We do not use imagery that is degrading or that portrays people without dignity.

5. Selection & conduct of staff and volunteers

Anyone working directly with children or vulnerable adults is screened appropriately, briefed on this policy, and expected to uphold a strict code of conduct at all times.

6. Reporting a concern

If you have any concern about the safety or treatment of someone in our care, please tell us immediately and in confidence. Email our safeguarding contact at hello@sophianafoundation.com [consider a dedicated safeguarding@ address and named Safeguarding Lead]. Concerns are taken seriously, investigated, and, where appropriate, referred to the relevant authorities.

7. Protecting beneficiary information

Personal information about the children and elders we serve is handled with special care and in line with our Privacy Policy. Access is limited to those who genuinely need it.

8. Review

This policy is reviewed regularly and updated as needed to reflect best practice and legal requirements.
