Privacy Policy
Last updated: 13 July 2026
Your trust matters to us. This policy explains what personal information the Sophiana Foundation collects, why, and the choices you have.
1. Who we are
The Sophiana Foundation (“we”, “us”, “the Foundation”) is a nonprofit organization registered in Washington State, USA (UBI: 606 232 613; EIN: 42-3863047), with charitable programs operating in Uganda. Our registered address is 16031 3rd Pl S, Burien, WA 98148-1487. We are the data controller responsible for your personal information. Questions? Email hello@sophianafoundation.com.
2. Information we collect
- Contact details you give us — e.g. your name, email, and message when you use our contact form or subscribe to the newsletter.
- Donation information — processed securely by our third-party payment providers. We do not see or store your full card details; we receive confirmation and the information needed to issue receipts and manage recurring gifts.
- Usage data — basic, privacy-respecting analytics about how the site is used (pages visited, device type), and cookies as described in our Cookie Policy.
3. How we use your information
- To respond to your enquiries and partnership requests.
- To process donations and send receipts and updates about them.
- To send newsletters and impact updates (only with your consent).
- To understand and improve our website.
- To meet our legal, accounting, and reporting obligations.
4. Legal basis
We rely on your consent (e.g. newsletter sign-up), the performance of a contract or request (e.g. processing a donation you made), our legitimate interests in running the Foundation, and compliance with legal obligations.
5. Sharing your information
We do not sell your personal information. We share it only with trusted service providers who help us operate — such as payment processors, email/newsletter services, and hosting providers — and only as needed. We may disclose information where required by law.
6. Data retention
We keep personal information only as long as necessary for the purposes above or as required by law (for example, donation records for financial and tax compliance).
7. Your rights
Depending on your location, you may have the right to access, correct, delete, or restrict the use of your personal information, to object to processing, and to withdraw consent at any time. To exercise these rights, contact hello@sophianafoundation.com.
8. Beneficiary and children’s information
We take special care with information and images of the children and elders we serve. We collect and publish such content only with informed consent and in line with our Child Safeguarding Policy, always protecting their dignity and safety.
9. Security
We use appropriate technical and organizational measures to protect your information. Our site is served over HTTPS, and payments are handled by PCI-compliant providers.
